About this policy
This policy explains how CocknBull Boutique Hotel ("we", "us") handles your personal information. It covers our website, enquiries, direct bookings and gift vouchers. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).
CocknBull Boutique Hotel is operated by The Trustee for The Gillie Family Trust, ABN 24 755 848 431, at 17-21 Warren Street, Echuca VIC 3564.
What we collect
We only collect what we need to look after your stay or answer your enquiry. That can include:
- your name, email address, phone number and postal address
- booking details, such as your dates, the suite, the number of guests and any special requests
- photo ID and credit card details at check-in, as a condition of stay
- gift voucher details, such as the name and email of the person receiving it, and your message
- anything you choose to tell us in an enquiry, including dietary or accessibility needs
- information about how you use our website, collected through cookies (see below)
You can make a general enquiry without giving your name, but we will need your details to take a booking.
How we collect it
- Directly from you, when you call, email, fill in our contact form or check in.
- Through our booking system. Online bookings are made through SiteMinder, which collects your booking and payment details on our behalf.
- Through PayPal, when you buy a gift voucher. PayPal processes the payment and sends us the voucher details. We never see your full card number.
- From booking sites such as Booking.com, if you book with them. Their own privacy policies also apply.
How we use it
We use your information to:
- take, confirm and manage your booking, and contact you about your stay
- answer your enquiries and arrange functions and group bookings
- issue and honour gift vouchers
- meet our legal, tax and accounting obligations
- improve our website and understand how guests find us
We will only send you news or offers if you have agreed to receive them, and every message will include a way to opt out. Confirm whether CocknBull sends a newsletter or marketing emails.
Who we share it with
We do not sell your personal information. We only share it with the services we use to run the hotel:
- SiteMinder, our online booking system
- PayPal, for gift voucher payments
- Google, for website analytics and the maps on our site
- Our email and accounting providers (confirm names)
- government bodies, where the law requires it
Some of these services store information outside Australia, including in the United States. We use well-known providers who protect personal information to a standard similar to the Australian Privacy Principles.
Cookies and analytics
Our website uses Google Analytics to understand how visitors use it, such as which pages are viewed and how people found us. Google Analytics uses cookies and does not tell us who you are. You can block cookies in your browser settings, or opt out of Google Analytics with Google's opt-out tool.
Pages with a map load it from Google Maps, and our booking and payment links take you to SiteMinder and PayPal. Those services have their own privacy and cookie policies.
Storage and security
We take reasonable steps to protect your information from misuse, loss and unauthorised access. Paper records, such as check-in details, are kept securely at the hotel. We keep information only for as long as we need it for the purposes above or as the law requires, then destroy or de-identify it.
Access and correction
You can ask for a copy of the personal information we hold about you, or ask us to correct it. Contact us using the details below. We will respond within 30 days, and there is no charge for asking.
Complaints
If you think we have mishandled your information, please tell us first so we can put it right. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was updated.
